Concerning the 11th great International Convention to be held jointly in Rome

I. The Senate designates the date of the XI Grand International Conventus of Nova Roma in April 2779 AUC (2026), at the time of the Parilia - Dies Natalis Romae Festival, in Rome, Italy, Praefectura Italia of Nova Roma, which is the organizing local authority, headed by the praefectus Italiae Cn. Cornelius Lentulus. The dates of the Conventus shall be April 17 - 21.

II. Petitions by citizens for aid in the costs of participation can be made directly to the Office of the Aerarium: this Office shall decide about the funds to spend under the authority of this senatus consultum.

A. The following requirements all shall be met for a citizen to be eligible for the aid:

i. the citizen shall be an individual who wouldn't come to the Conventus unless he or she is financially aided,

ii. the citizen shall be a current magistrate, governor, priest or senator of Nova Roma,

iii. the recipient of the aid shall not pay the current year taxes, but this sum (the unpaid tax) has to be accounted as part of the amount of the aid.

B. No money shall be given personally in the hands of any receiver of the aid: this aid will be given to the Conventus Organizing Committee (Commissio Conventus Praeparandi) to pay for the receiver's accommodation, food, or local transportation in the Praefectura Italia.

III. The Commissio Conventus Praeparandi may directly petition the Office of Aerarium for aid in the costs of the organization. Invoices shall be presented to the curator aerarii and the entire Officium Aerarium after the Conventus for all approved expenditures. The following approved categories are to be considered when acquitting expenditure:

A. Transport costs, such as fuel and tolls for vehicles of citizens directly transporting goods, equipment and supplies supporting the Conventus.

B. Access and reservation costs for Nova Roma's presence in selected venues/locations.

C. Negotiated entertainment-related expenditure for on camp location as coordinated by the Commissio Conventus Praeparandi.

D. Costs related to basic catering as well as supporting supplies, such as first aid, water and sunscreen as coordinated by the Commissio Conventus Praeparandi.

E. Total reimbursement costs are not to exceed 4000 EUR.

IV. Cn. Lentulus, praefectus pro praetore of the hosting dioecesis, is authorized to establish the Commissio Conventus Praeparandi (Conventus Organizing Committee), whose members shall be appointed by him, and which Committee shall be responsible for the organization of the Conventus, with all decisions to be made by the Committee as a body. The Committee shall report to the aediles and the consuls jointly.
